Segments allow you to filter and group your contacts or companies based on specific criteria. Instead of working with one large list, you can build targeted subsets for campaigns, outreach, or analysis.
By building custom Segments, you can zero in on the people or accounts that matter most — making your outreach more personalised and effective.
Accessing the Segment tool:
- From the dashboard, go to CRM > Segment.
- Click New Segment to begin building your criteria.
Choosing your segment type:
When creating a Segment, you’ll first select a Section. Each section determines which properties are available to use:
- Date → filter by date ranges (greater than, less than, between, not between).
- Contact → segment by standard or custom contact properties (e.g. job title, persona).
- Company → use company-level properties like size, revenue, or industry.
Defining your conditions:
- After selecting a Section, choose a Property (e.g. “Job Title,” “Industry,” or “Location”).
- Select the logic you want to apply (e.g. equals, contains, greater than, less than).
- Enter or select the value you want to filter by.
- Example: Job Title contains “Director”
You can add multiple conditions to build more advanced Segments.
Previewing your Segment
Once your criteria are set:
- Click Preview to see how many contacts or companies match.
- If the preview returns 0 contacts, adjust your conditions until you get suitable results.
Using your Segment:
Once your Segment criteria are set and you’re happy with the preview, you have a few options:
- Create a Static List → a snapshot of the current results. Static lists won’t change over time, even if new contacts later match your criteria.
- Create a Dynamic List → a live list that automatically updates. Any new contact or company that meets your Segment criteria will be added to the list going forward.
- Download as CSV → export the current results into a spreadsheet for reporting or use outside the platform.
This flexibility means you can choose whether your Segment should be a one-off export for a campaign, or an always-up-to-date audience you can keep activating.
Best Practices:
- Start broad, then refine → too many filters at once can result in zero matches.
- Test criteria → run previews frequently to confirm results.
- Use Segments for personalisation → smaller, more focused groups drive higher engagement.
FAQs:
What’s the difference between a Segment and a List?
- A List is a static group of contacts or companies.
- A Segment is dynamic criteria applied to your CRM — it can be saved or turned into a list.
Can I use multiple filters in one Segment?
Yes. You can add multiple conditions to refine results further.
Why does my Segment return zero results?
Check that your filters aren’t too restrictive. Try removing one condition at a time to see which is limiting the results.
Can I create Segments based on intent activity?
Yes. Use properties under Company or Web Visitors (like number of visits or triggers) to build intent-driven Segments.
